This Privacy Policy explains how we collect, use, disclose, and protect personal information when you (a) visit our sites, (b) create or use a UnitVox account, or (c) interact with an AI agent operated by our customers (e.g., by phone, SMS, or chat).
1. Who We Are; Roles
When we process data for our own purposes (websites, billing, direct customer communications), UnitVox is a controller/business.
When customers use UnitVox to communicate with their leads or customers, UnitVox processes personal information as a processor/service provider under the Data Processing Addendum (DPA). If you interacted with a UnitVox agent operated by a business, please contact that business first; we assist them in fulfilling verified requests.
2. Categories of Personal Information We Collect
2.1 You Provide Directly
Account details (name, email, password, company, role, phone).
Billing details (payment tokens from our payment provider; we do not store full card numbers).
Business content (knowledge bases, prompts, scripts, calendars, integration settings).
Communications (support, preferences, consents, legal requests).
2.2 From Your Use of the Services
Telephony & Messaging Data: caller/recipient numbers, call/SMS routing metadata, durations, delivery receipts, voicemail.
Recordings/Transcripts (if enabled): audio, transcripts, AI responses, annotations.
Device/Usage Data: IP address, identifiers, pages viewed, timestamps, diagnostics, crash logs, cookies or similar tech.
Integration Data: information exchanged with authorized integrations (e.g., CRM contacts, calendar events) per your configuration.
2.3 Sensitive Information
We do not seek to collect Sensitive Information (e.g., government IDs, precise geolocation, health data/PHI, biometric templates, full payment cards). Please do not submit such information unless a signed addendum explicitly permits it and applicable laws' conditions are met.
3. Purposes of Use
We use personal information to:
provide, maintain, and improve the Services (including routing calls/SMS, transcription, analytics, quality assurance, reliability);
secure the Services, prevent fraud, abuse, and misuse;
enable integrations you authorize;
administer accounts, billing, support;
send service announcements and product updates;
conduct research and development using de-identified/aggregated information to enhance performance and accuracy;
comply with legal obligations.
4. Legal Bases (EEA/UK, where applicable)
Contract performance;
Legitimate interests (security, service improvement, anti-fraud);
Consent (where required, e.g., certain marketing, call recording);
Legal obligations.
5. Sharing and Disclosures
We may share personal information with:
Service Providers/Sub-Processors (hosting, telephony/SMS, analytics, payments, AI infrastructure) under confidentiality and data-processing terms;
Integrations You Authorize --- we share and/or ingest data according to your configuration (e.g., push leads to CRM);
Corporate Transactions --- in a merger, acquisition, financing, asset sale;
Legal/Compliance --- to comply with law, protect rights, safety, or prevent fraud/abuse.
IMPORTANT CLARIFICATION REGARDING MOBILE INFORMATION AND TEXT MESSAGING CONSENT:
All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties, excluding aggregators and providers of the Text Message services.
We do not sell personal information as "sale" is defined by many privacy laws. We do not engage in cross-context behavioral advertising without consent where required; you may opt-out of such processing where applicable.
5.1 Mobile Information and Text Messaging Originator Data Protections
No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted.
All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
Specifically:
Text messaging originator opt-in data and consent collected through our Services will not be shared with any third parties, except for:
- Aggregators necessary for SMS/text message delivery; and
- Providers of the Text Message services required to operate the platform.
Mobile phone numbers and related mobile information will not be used for marketing or promotional purposes by third parties or affiliates.
Sharing with subcontractors providing direct support services (such as customer service, technical support, or service delivery) is permitted solely to fulfill the Services you have requested.
Any mobile information used internally is strictly limited to service delivery, security, fraud prevention, and compliance purposes as described in Section 3.
6. Cookies and Similar Technologies
We use cookies, pixels, and SDKs for authentication, preferences, analytics, and performance. Manage cookies in your browser and (where available) via our cookie banner. At this time, we do not respond to browser "Do Not Track" signals. We honor Global Privacy Control (GPC) signals where required by law.
7. Recording, Transcription, and AI Disclosures
If recording and/or transcription are enabled:
We and/or our sub-processors may process audio and text to transcribe, analyze, and facilitate AI responses;
Customers are responsible for providing required notices and obtaining consent under applicable one-party/two-party consent laws;
Recordings/transcripts may be available to authorized admins for quality assurance and dispute resolution according to configured retention.
8. SMS/Text Messaging Disclosures
By providing a mobile number to UnitVox or a UnitVox customer, you may receive service-related texts (e.g., confirmations, reminders). Message frequency varies. Message and data rates may apply. Reply STOP to opt out; HELP for help. Opt-outs may not apply to essential transactional/security notices.
8.1 Text Messaging Consent and Data Protection
Consent for Text Messaging:
By opting in to receive text messages, you expressly consent to receive automated text messages at the mobile number provided.
Your consent is not a condition of purchase or use of the Services, unless text messaging is integral to the specific service you have requested.
You may revoke consent at any time by replying STOP to any text message, or by contacting the business that initiated the text communication.
Protection of Text Messaging Originator Opt-In Data:
Your text messaging originator opt-in data and consent will not be shared with any third parties, except for:
- SMS aggregators and carriers necessary to deliver text messages; and
- Direct providers of the Text Message services platform.
Mobile information collected in connection with text messaging will not be shared with third parties or affiliates for marketing or promotional purposes.
We do not sell, rent, or otherwise transfer your mobile phone number or text messaging consent to third parties for their independent use.
Your mobile information may be shared with subcontractors solely to provide customer service, technical support, or other support services directly related to the text messaging service.
Your Rights:
You have the right to access, correct, or request deletion of your mobile information and text messaging consent data as described in Section 12.

9. Children's Privacy
Our Services are intended for business use and are not directed to children under 13 (or other minimum age where applicable). We do not knowingly collect personal information from children.
10. Retention
We retain personal information for as long as necessary to provide the Services, comply with legal obligations, resolve disputes, and enforce agreements. Default retention (unless you set different rules):
- Recordings/Transcripts: 90--365 days
- Logs/Telemetry: 90 days
- Account/Billing: duration of account + legal requirements
- We may retain Aggregated/De-Identified information without time limit.
11. Security
We implement administrative, technical, and physical safeguards appropriate to the nature of the data and Services (encryption in transit, access controls, monitoring, vulnerability management). No system is perfectly secure; please protect credentials and notify us promptly of suspected incidents at [email protected].
12. Your Rights & Choices
Depending on your location, you may have rights to access, correct, delete, port, or restrict certain processing; object to processing; and withdraw consent.
End Users of a UnitVox Customer: Contact the business you interacted with first; we assist them as their processor.
Admins/Users of UnitVox: Email [email protected] and verify your identity.
You may opt out of marketing communications by following unsubscribe instructions.
13. Regional Supplements
13.1 United States -- State Privacy Laws (Overview)
For residents of California, Virginia, Colorado, Connecticut, Utah, Oregon, Texas, and other states with privacy statutes:
We provide notice at collection of categories and purposes (see Section 2 & 3);
You may have rights to know, access, correct, delete, port, and to opt out of sales, targeted advertising, and certain profiling;
We do not sell personal information; if we engage in cross-context targeted advertising, you can opt out via our "Your Privacy Choices" link or by sending a request to [email protected];
For Virginia/Colorado/Connecticut/Oregon, an appeal mechanism is available by replying "APPEAL" to our response or emailing [email protected] with subject "Appeal."
13.2 California Privacy (CPRA) -- Additional Disclosures
Categories Collected: Identifiers, commercial information (subscription), internet/network activity, geolocation (coarse IP-based), audio (recordings if enabled), professional information.
Sensitive Personal Information: We do not intentionally collect SPI; if necessary for specific features, it is used only for limited purposes allowed by law.
Retention: See Section 10.
Sources: You, your organization, our service providers, and authorized integrations.
Purposes: See Section 3.
Sharing: Service providers, sub-processors, integrations you authorize, and as required by law.
Rights: Access, correct, delete, portability, limit use of SPI (where applicable), and opt-out of sharing for cross-context behavioral advertising.
Non-Discrimination: We will not discriminate for exercising rights.

13.3 EEA/UK -- GDPR Disclosures

14. International Transfers
We operate globally. Where required, we use appropriate safeguards for transfers, including SCCs and UK transfer mechanisms. Copies of relevant transfer mechanisms are available to customers under NDA upon request.
15. Data Minimization; Privacy by Design
We implement privacy by design and by default: role-based access; data minimization; configurable retention; de-identification of datasets for analytics; and regular review of subprocessors.
16. Sub-Processors
We use vetted sub-processors to deliver the Services. The current list is available at unitvox.com/legal/subprocessors and may be updated from time to time with notice as required by the DPA. Customers may object per the DPA.
17. Changes to This Policy
We may update this Policy periodically. Material changes will be announced via the Service and/or email with an updated "Effective Date." Your continued use indicates acceptance.
